Project Scope
, A custom proforma management system was developed for a main company and its affiliated sub-companies
This project was not developed as a SaaS product; it was built specifically to manage the internal sales and quotation operations of a main company and its 3 affiliated sub-companies. The goal was to centralize manually prepared quotation files, scattered customer records, and difficult-to-track pricing processes under a single web application. With the system, sales teams can record customer requests, add products to quotations, manage pricing, generate proforma documents, and monitor the entire process centrally. The referenced company structures present product categories such as forklifts, warehouse equipment, construction machinery, and spare parts with a quotation-focused approach.
Multi-Company Structure
, Separated operation model for the main company and sub-companies
The system was structured according to the operational needs of the main company and its affiliated sub-companies rather than being limited to a single-company use case. Quotation records, customer information, product preferences, and reporting needs can be managed separately for each company. This approach preserves central control in group company structures while allowing sub-companies to track their own sales processes independently. As a result, quotation processes are separated by company while management gains overall visibility.
Quotation Creation Flow
, Product selection, pricing, and customer information were managed on a single screen
During the quotation preparation process, users can easily select products, update quantity and unit price information in real time, associate customer details with the quotation, and calculate total amounts automatically through the system. Dynamic forms, modal windows, and visual notifications simplify the user workflow. This structure reduces quotation preparation time and minimizes manual calculation errors, especially in sectors with a wide range of products such as forklift spare parts, warehouse equipment, and construction machinery.
Product and Customer Management
, Central record infrastructure that accelerates quotation processes
The relationships between products, customers, and quotations were modeled in detail within the system. Product information, prices, descriptions, and category structures were organized to be used quickly on quotation creation screens. Customer records were associated with quotation history, making it easier for sales teams to track previous communications, historical pricing, and generated proformas. Since the referenced websites present spare parts and equipment through different category structures, the product data model in this system was designed to be flexible.
PDF Proforma Generation
, Prepared quotations were converted into corporate PDF documents
One of the most critical modules of the system is the PDF proforma generation infrastructure. A quotation prepared by the user is converted into a corporate PDF document together with customer information, product list, quantities, prices, total amounts, company information, and description fields. This allows sales teams to generate quotations in a standardized format through the system instead of preparing them manually in Word or Excel files. PDF outputs can be archived digitally, printed, or sent to customers via email or messaging channels.
Backend and API Architecture
, Secure and sustainable service infrastructure with Django REST Framework
A strong API architecture was developed on the backend using Django and Django REST Framework. Proforma and quotation CRUD operations, product addition, customer management, revision tracking, approval statuses, user authorization, and reporting endpoints were managed in a controlled way through the backend. The API structure was designed to communicate with the frontend in JSON format, increasing the extensibility of the system. This structure makes it easier to add future modules such as new companies, new reports, email sending, stock integration, or ERP connections.
ReactJS Interface Development
, Fast, modern, and interactive user experience for sales teams
On the frontend, a modern, responsive, and interactive interface was developed using ReactJS and Bootstrap. While preparing quotations, users can add product rows, view price and quantity changes instantly, select customers, and track operation results through visual notifications. The interface was designed to be simple and operation-focused so non-technical staff can also adapt quickly. This approach ensures that quotation preparation screens work quickly and clearly in line with daily sales operations.
Reporting and Sales Tracking
, Reporting structure that makes quotation performance measurable
The system was designed not only to create proformas but also to analyze sales processes. With the reporting module, quotations created within specific date ranges, user-based performance, product-based demand density, and company-based quotation distribution can be monitored. This allows managers to see which products are quoted more frequently, which sales personnel are more active, and which areas of the quotation process can be improved. As a result, the system provides not only an operational tool but also a decision-support infrastructure.
Authorization and Operational Security
, Controlled access structure based on company, user, and role
In a system developed for a main company and its sub-companies, authorization is critical. Backend-level access controls were implemented so users can only view records appropriate to their role and company structure. Sales personnel can create quotations, while managers can monitor approvals, reports, and company-wide quotation processes. This structure improves data security and allows users to focus only on their own operational areas.
Operational Efficiency and Business Impact
, A solution that reduces quotation preparation time and standardizes sales processes
This proforma system moved the company’s quotation management away from personal files and manual tracking methods into a standardized, digital, and reportable structure. Sales teams can prepare more organized quotations in less time, while managers can centrally monitor quotation statuses and sales performance. For companies with a wide product range, systematizing quotation processes provides time savings, lower error rates, more professional customer communication, and stronger internal operational control. The referenced websites emphasize quote requests and contact calls for products, which shows that this type of proforma system creates direct value in sales processes.
